Conducting More Effective Meetings and Boosting Team Engagement

Hedley Lawson / Aligned Growth Partners, LLC.

Meetings are and will continue to be a significant part of our business lives. While meetings are intended to be productive, they can also be enjoyable and engaging. Here are some creative ideas that we offer to our clients to make your team meetings more dynamic and exciting.

1. Rotate Leadership

Encourage diversity in perspectives by having different team members lead each meeting. Establish a rotating schedule based on department, tenure, and position. Provide a basic agenda that leaders can personalize, allowing them to add their own icebreakers and choose their preferred presentation style.

2. Change Meeting Locations

Break the monotony by varying meeting locations. If possible, take meetings outdoors, visit a local coffee shop, or even opt for walking meetings. For virtual meetings, leverage preset backgrounds to create a shared virtual environment. Adding branded sunglasses for a cohesive look can also inject a fun element.

3. Incorporate Movement

Promote physical activity by incorporating simple stretches or bursts of movement before and during meetings. Consider keeping fitness dice and exercise bands in meeting rooms to encourage movement. This not only boosts energy levels but also enhances productivity and alertness.

4. Gamify Glitches

Turn common online meeting challenges into sources of amusement. Create an “Awkward Team Photo” album using screen captures of frozen attendees. Play the “freeze” game, where participants pretend to glitch, with the most convincing performance winning a webcam cover.

5. Celebrate the Small Victories

Take a few minutes in each meeting to celebrate small successes. Recognize outstanding employees, acknowledge new contracts, or share positive customer interactions to inspire future achievements. For significant victories, reward team members with tangible items like desk clocks or plaques.

6. Designate Meeting-Free Days

Recognize the importance of balance by instituting meeting-free days. Companies such as Facebook, Citi, and Canva have reported increased productivity, focus, and employee satisfaction by implementing this approach. On days with meetings, ensure they are purposeful and add value.

Incorporating these creative meeting ideas can keep your team engaged and energized. Whether changing leaders or locations, promoting movement, gamifying glitches, celebrating wins, or designating meeting-free days, these strategies can lead to significant benefits for both productivity and employee satisfaction.
